Entry Form Settings

Show a form to users the first time they access your space, before they enter. It's a handy way to collect details like an event attendee's organization or reason for attending, all at the point of entry. Responses are viewable in the user log and can be exported to CSV.

How to Set It Up

1. Click the hamburger icon in the space header, then select the Space tab.
If you're not an organization owner, you won't need to select a tab.

2. Go to your space settings and click Feature Settings.

3. Toggle New User Entry Form on or off.

Editing the Form Title

1. Click the edit button for the form title.

2. Enter a title and save.

The default title is "Please complete the form below before entering." You can enter up to 100 characters.

 

Adding Form Fields

1. Click the plus button on the form.

2. Fill in each setting and save.

Key (required) The name that identifies the field. It appears as the column name in the user log (up to 100 characters)
Label (required) The field name users see on the form (up to 100 characters)
Required When checked, users can't move to the next screen until they fill in this field (unchecked by default)

Fields you've added appear in the list as "Label (Key)." Required fields are marked with an asterisk at the end.

 

Reordering, Editing, and Deleting Fields

  • Reorder: drag the icon at the start of the field.
  • Edit: click the edit icon, make your changes, and save.
  • Delete: click the delete icon, then confirm on the next screen.

What Users See When Entering the Space

Users accessing the space for the first time see the form right after the entrance screen. It appears for both registered and unregistered users, and it won't appear again on later visits.

If Visitor Device Settings is off, users go straight into the space after the form.
The button stays disabled until all required fields are filled in.

Viewing Responses

1. Go to your space settings and click User Log.

2. Select the entry form log tab.

What you can see

  • User: name and email address
  • Responses: one column per current form field, with the key as the column name
  • Other: past responses to fields that have since been deleted
  • Date and time: when the form was submitted

 

Exporting to CSV

1. On the entry form log tab, click Download CSV file.

2. Specify a date range and click Download.

3. Check your email for the download message.

4. Click Download file in the email to get your data.

The CSV file includes everything shown on screen.

Tips

  • You can add up to 10 fields. Once you hit the limit, the plus button is disabled.
  • If there are no fields at all, the form won't appear even with the feature turned on.
  • The form title and fields appear exactly as you enter them. They aren't translated based on each user's display language, so set them in the language your users will understand.
  • You can search the response log by user name or email address.
  • Registered users who have verified their email address have a verified mark next to their address.
  • If the contents of the Other column run longer than three lines, they're truncated. Hover over the text to see it in full.
  • If your organization disables this feature, the form and its log tab won't appear even if the setting is still on.
