Two-Factor Authentication (2FA)

When accessing spaces associated with an organization, in addition to logging in, each user may be required to perform two-factor authentication using an authentication app such as Google Authenticator.

Initial Setup by Organization Owner

1. Click on the hamburger menu at the top left of the screen and select the Organization tab on the main menu.
The organization tab can only be accessed by organization owners.

2. Click on Organization Settings → “Security Management”

4. Select “On” and click “Edit”

 

Setup by Individual Users

When you enable two-factor authentication, each user will be prompted to set it up each time they access a space or reload their browser.

Procedure

1. Install any authentication app on your mobile device

For example: Google Authenticator etc.

2. Access your space

3. Read the QR code displayed on the screen with the authentication app on your mobile device 

4. Confirm that ovice has been added to the authentication app, and click "Next" on the ovice screen.

5. Enter the 6-digit code displayed on the authentication app into the ovice screen and click "Next"

After setup, an authentication screen will be displayed every time you log in to a space in an organization that has two-factor authentication enabled. Enter the 6-digit code displayed on your authentication app to access your space.

 

Resetting Two-Factor Authentication (per user)

1. The organization owner sends a two-factor authentication reset email to a specific user.
Reset the two-factor authentication of the organization user.

2. Click on the URL of the email received by the individual

Subject: [ovice] Reset two-factor authentication
From: no-reply@laravel.ovice.di-agile.io
URL expiry: 48 hours

3. Click "Reset" on the linked screen

*At this point, the authentication code you set up last time will be invalidated.

4. Access spaces with two-factor authentication enabled

5. Perform setup again

 

Disabling Two-Factor Authentication (organizational unit)

Disable two-factor authentication when accessing spaces associated with your organization.

1. Click on the hamburger menu at the top left of the screen and select the Organization tab on the main menu.
The organization tab can only be accessed by organization owners.

2. Click on Organization Settings → “Security Management”

3. Click “Edit” for 2-factor authentication 

4. Select “Off” and click “Edit”
