Google Calendar & Status Integration

By integrating with Google Calendar, you can display Google Calendar events in ovice in all spaces belonging to your organization. Also, the avatar emoji will change depending on the event in progress.

Advance Preparation

  • A Google account is required (both business and personal accounts are available).
  • You need an ovice account. To create an account, please go to the following:

How to connect

If you configure it in one space, it will be linked to all spaces under the same organization.

1. Open  Integrations

2. "Organizational" > Click "Connect" for Google Calendar

3. The Google account login window will appear.

4. Log in (or choose an account)

5. Log in to oVision and click "Next"

6. Click "Allow" for the access request

*If you want to link your personal Google account, a check box will be displayed. Check it and click "Continue."

7. Once the integration is complete, close your personal settings.

 

Disconnect

1. Click "Connected" in Google Calendar

Check Status

If a Google Calendar schedule is in progress, an icon will be displayed on the avatar emoji. All users accessing the same space can check the status

A list of today's schedules will be displayed. Currently ongoing schedules will be displayed in bold, and completed schedules will be grayed out.

Events set as private on Google

A lock icon will be displayed.
The person in question will be able to view the title of the schedule they set.

It will be displayed as a "Private Schedule" to other organization users and the title will not be made public.

Tips

  • You cannot use this integration in the multiple organizations. If you connect with the second organization, the previous integration will be automatically disconnected.
  • While using Google Calendar & Status integration, you cannot integrate with other calendars/status.

FAQ

What information does ovice store on its servers?

The following information will be collected and stored:

    • Information that identifies the user
    • access_token
    • Event start time (kept for 3 days from the event end time)
    • Schedule end time (kept for 3 days from the schedule end time)
    • Title (kept for 3 days from the scheduled end date)

 

What permissions does Google require?

    • calendar.events.readonly – to get event updates
    • calendar.freebusy: To get the status of a specific time period (whether or not there is an event)
    • userinfo.email: To identify the user

 

How often is the data updated?

We receive a notification every time there is a change in your Google Calendar. When we receive it, the schedule information for 4 days from the day before to 2 days after the day we received the notification will be retrieved.

 

Can multiple users link to one Google Calendar?

No. You will be linked to the last user you set.
