Notification to Gmail (Using Webhook on Zapier)

Use Zapier to receive notifications via Gmail of mention chats sent to you.
Admins can also use Zapier to receive notifications via Gmail with various triggers.

 

Advance Preparation

A Zapier account is required.

 

Setting up a Trigger with Zapier

1. Access https://zapier.com/ and log in

2. Click Create Zap from the top left menu

3. Scroll down the Trigger screen and click Webhook

4. Select Webhook in Event and click Continue

5. Click Continue again on the Trigger screen

6. Copy your webhook URL

Do not close the Zapier settings screen in this state.

7. Perform settings on the ovice side

Please proceed to one of the steps below.
Set notifications for mention chats ( can be set by administrators and members )
Set notifications for various triggers ( can only be set by administrators )

 

ovice Settings (Setting Notifications for Direct Messages)

1. Move from personal settings to Integrations

2. Paste the contents of Zapier configuration step 6 into the hook URL.

3. Copy and paste the following string into the post data and click Save

4. Receive a mention chat once as a test

5. Configure Action with Zapier

 

ovice Settings (Configure Notifications with Various Triggers)

1. Click on the three dots at the top left of the screen and select the Space tab on the main menu
*If you are not the organization owner, there is no need to select the tab.

2. Click Space SettingsWebhook

3. Click the + button for Webhook Settings

4. Select trigger

Please refer to the following and select the trigger for notification.

5. Paste the contents of Zapier configuration step 6 into the webhook URL.

6. Enter the post data using the sample webhook post data as a reference, and click "Save".

7. As a test, actually fire the set trigger

(Example) Going online, entering a conference room, etc.

2. Check that “We found a request!” is displayed

3. Click “Continue”

4. Select "Gmail"

9. Select “Send Email” in Event and click “Continue”

10. Click Gmail account and specify your Google account

*If a Google access request is displayed in a separate window, select "Allow".

11.Click “Continue”

12. Set each action item

  • Add notification email address to "To"
  • Add the sender Google account to "From"
  • Add subject to "Subject"
  • Add text to “Body”

Customize other items as desired.

Click on Subject or Body and "Insert Data" will be displayed. Click on the post data set in ovice to add it.

13. Click “Continue”

14. As a test again, actually generate the trigger contents on ovice

(Example) Receive mention chat, go online, etc.

15. Click “Test Action”

16. “A Send Email was sent to Gmail about ◯ seconds ago” is displayed, confirming that Gmail was received

17. Click “Publish Zap”

18. Click “Publish & Turn On”

 

Tips

  • Post data can freely change the value for text. Please refer to the following.
    Webhook post data
  • With this setting, there is no need to enter header data on the ovice side.
