Manage Space Access and Whitelists

Permissions settings set restrictions on user access to the space. You can set permissions for members and visitors respectively; if you are using the Team or Business plan, you cannot set permissions for visitors.

By default, permission settings do not apply to administrators.

 

Items that can be set

  • Email address
    • You can specify by email domain, email address, or SSO (members only).
  • Password
    • If multiple passwords are created, they will be judged by the OR condition. Passwords can be set from one character, and there are no restrictions on the number of symbols or characters.
    • You will be asked to enter your password only when you first access to determine if you are a member/visitor. You will not be asked to enter a password if you are already a member/visitor of the space, such as when you access it for the second time or later.
  • IP address
    • Set a global IP address.

Creating Whitelists

  1. Space Settings → Space Access Settings

    When managing visitor privileges, update Visitor Whitelist Rules

  2. Select an item to set

    • Email Address (Individual Email Address)

      1. Click Email Account Authentication

      2. Select Address from the drop-down menu (optional)
      3. Click the + button next to Registered Email Addresses

      4. Enter the email address/email domain and press the enter key

        * Multiple email addresses can be registered at once by separating them with "," ' or new line break (you can copy & paste email addresses from excel or editor).

        * Make sure that the input value is surrounded by a black frame.

      5. Click Save

 

  • Email Address (Email Address Domains)
    1. Click Email Account Authentication

    2. Select Domain from the drop-down menu (optional)
    3. Click the + button next to Registered Email Addresses

    4. Enter the email address/email domain and press the enter key

      * Multiple email addresses can be registered at once by separating them with "," ' or new line break (you can copy & paste email addresses from excel or editor).

    5. Click Save 

 

 

  • For Password

      1. Click Password Authentication

      2. Click the + button next to Set Password

      3. Enter password (twice) and note (optional)

      4. Click Save

  • For IP address

      1. Click "Authenticate by IP Address"

      2. Click the + button next to "IP Address Authentication"

      3. Enter the IP address and press the enter key

      4. Click Save

Tips

  • If you are using a hierarchical structure and wish to quote access permission settings to other floors, please refer to the following.
    Quoting access restrictions from other floors
  • Email domain, email address, and SSO are determined using OR conditions.
  • The password and IP address are determined by AND conditions with other access permission setting items.
  • Partial match searches for email domains, email addresses, and IP addresses can be performed on each setting screen.
  • To delete the settings, click the trash can button on each setting screen.

  • Only email addresses and email domains can be deleted in bulk on the settings screen. 
  • All email addresses and domains can be deleted by one click
