Invited Users Appear in "Pending Approval" (For Admins)

If a user you invited cannot access the space after creating an account or logging in, and the user appears in "Pending Approval", check the following.

 

Cause

In a private space with conditions set in Space Access Settings, invited users cannot access the space with the role they were invited with unless they meet those conditions.

If a user you invited as a member meets neither the "Member Whitelist Rules" nor the "Visitor Whitelist Rules" conditions, the user can only apply for the member role at the space entrance. When they apply, they appear in "Pending Approval".

A user does not meet the "Member Whitelist Rules" conditions in cases such as the following:

  • The user does not match any of the email address, email domain, or SSO settings
  • An IP address is set, and the user is accessing from an IP address that is not allowed

*If you invited the user as a visitor, access is determined by the "Visitor Whitelist Rules" settings.
*If you invited the user as an admin, the user can access the space regardless of Space Access Settings.
*Invitations are valid for 7 days. If an invitation has expired, invite the user again.

 

How to Fix

1. Click the three dots in the space header and select the "Space" tab
*If you are not an organization owner, there is no need to select a tab.

2. Space settings → "Space Access Settings" → "Member Whitelist Rules" or "Visitor Whitelist Rules"
*Select the one that matches the role you invited the user with.

3. Check the settings you use

If you use email address or email domain authentication Add the user's email address or domain.
If you use SSO authentication (members only) Make sure the user logs in with SSO and has been added to the app in your IdP.
If you use IP address authentication Make sure the IP address of the user's environment has been added.

*If the user does not appear in "Pending Approval" and sees "You are not authorized to access the workspace", check the following.

4. If you invited the user as a member, approve the user in "Pending Approval"
*If you invited the user as a visitor, do not approve the user. Instead, add the user to "Visitor Whitelist Rules" in step 3. Approved users are granted the member role.
*Accounts that have not completed email verification cannot apply, so they do not appear in "Pending Approval".

Before You Invite Users

In a private space with conditions set in Space Access Settings, add the user to the access settings for the role you will invite them with before you send the invitation. This lets invited users access the space right away.
