Invite new users to your space.

 

Selecting Roles and Access Restrictions

There are four types of roles: Admin, Member, Visitor, and Guest. Determine the most appropriate role for the new user you are inviting and, if necessary, add them to the Access Restrictions settings.

Inviting Users to Your Space

You can invite users using the following methods:

Invite Admins Who can operate it?
Method of operation

1. Open the User List 

2. Click "Invite"

3. Enter the email address, press Enter, select "Admin" for the user's role, and click "Add to Invitation List"

*You can invite up to 200 users at a time.
*You can also copy and paste multiple email addresses from Excel etc.

4. Click "Send"

An invitation email will be sent to the target users.

 

Invite members/visitors
*Visitors excluded

  • Members (Free trial period or Free plan only)
Method of operation

1. Open the User List 

2. Click "Invite"

3. Press the Enter kry after entering the email addresses, select the user role for the target users, and click "Add to invitation list."

*You can invite up to 200 users at a time.
*You can also copy and paste multiple email addresses from Excel etc.
*Each user will access the space with the permissions selected when they first access it. Permission settings can be changed individually later on this screen.

4. Click "Send"

An invitation email will be sent to the target user.

Subject: You have received an invitation mail from the ovice space.
From: no-reply@mg.ovice.io
Invitation link expiration date: 7 days from the date of sending the email

Each user can access the space by creating an account or logging in to an account they already have using the link in the email.

Inviting members to a space that uses SSO authentication Each user does not need to create an account with ovice. An account will be automatically issued upon first SSO authentication.
If SSO is set up for each space Please share the space URL (https://app.ovice.com/ws/◯◯/login) and the following guide with the target users.  Log  in
with the space's own SSO (SAML authentication, etc.)

Invite Visitors

Who can operate it?
  • Admins
  • Members (Free trial period or Free plan only)
Method of operation

1. Open the User List 

2. Click "Invite"

The space URL for visitors will be copied, so please share the URL and the following guide with the target users.

Please carry out the following items as necessary.

Changing Roles

For spaces where you have not set Space Access Settings, you can manually change the roles for each user.
User Management (User List)
If a new user is accessing without logging in, you cannot grant them Admin or Member roles directly.

 

Checking Users Awaiting Approval

If a space is set to "Private," users can request Member access from the entry screen. Admins can review the list of users awaiting approval and approve them as necessary.
