Schedule a Meeting Room

Reserve the meetingroom you want to use in advance. Once the reservation is complete, an invitation link will be issued for each reservation, and you can invite external people (guests) to rooms in  private spaces  or spaces with  access permissions.

 

Required permissions for use

Confirmation of the schedule Admins and Members
Copy the invitation link Admins and Members
Editing/deleting a reservation Admins and Reservation Holder


*Users with visitor privileges will not be able to see the schedule menu.

Click the calendar button in the top right of the screen and select the "Meeting Rooms" tab.

①Meeting room Specify the meeting room you want to check.
②Reservation date and time Specify the date and time to check. By default, it is set to 23:45 on the current day from the current time.
*Closing the sidebar will reset it.
③Location information Locate the meeting room in the space.
④Reservation details Displays the meeting room, date and time, reservation owner, and description.

⑤Show more Loads more reservations for the specified date and time. By default, three reservations for each meeting room are displayed, starting from the earliest start time.

 

 

New Reservation

1. Click the "Reserve" button on the top right of the schedule screen.

2. Select "Room"

3. Enter your schedule and click "Save"

* You cannot select a room that is already reserved for the specified date and time. If you turn on "Show available room only", only available rooms will be displayed.

*The number of people displayed for each room is the maximum number of people available.

Copy invitation link / edit/delete reservation

1. On the schedule confirmation screen, click on the relevant reservation

2. Click the button you need to operate.

Joining from an invitation link

1. Access via invitation link

2. Select the account you want to access

If you have an ovice account How to log in and enter your account
If you don't have an ovice account


You will enter the meeting room directly instead of the space.

  • Guests who receive the link can enter the designated meeting room at the reserved date and time, regardless of the space's access restrictions. If the space is set to private, when guests leave the meeting room they will be returned to the lobby screen instead of the space.
  • You will not be able to enter the meeting room via the link until your reserved date and time arrives.
  • Once the reservation date and time has passed, you will not be able to enter the room via the link.
  • If the room is locked or already full, you will not be able to enter the room via the link.

 

Close the schedule screen

Click the calendar button in the upper right corner of the screen.

 

Tips

  • Schedule management is also possible in the space's room.

    Confirmation, editing, and deletion of reservations/copy of invitation link
    Click the calendar button in the upper left of the room or the three dots in the upper right and click "View Current reservation" to check reservations up to the past month on the schedule screen.
